Planner Limitations
Hi Planner Team, We have noticed that the following are the known limitations in Planner. - 250 assigned tasks per user irrespective of plans - 1500 tasks can be created by an user irrespective of plans - 250 Active tasks (Not Started, In Progress) per plan [Updated 18 Aug 2017] If an user need to overcome 250 assigned tasks limitation he has to unassign the tasks assigned to him. The worst part to overcome 1500 created tasks limitation is to delete the tasks created by him. These limitations seems to limit the planner usage. For the long term plans, users will get 250 tasks assigned and 1500 tasks created in a short span of time. Also these limitations are not well documented and this made us to fear about the hidden unknown limitations. So in order to ease the Planner adoption we request you to declare the limitations and see the possibility to increase these limits. This will only help the organizations to adopt for Planner easily. I used to receive all task comments in my Outlook inbox but this functionality seems to be broken. Now I might receive 1 out of 10 comments in my inbox, or none at all some days. I would like to at least receive a desktop notification when a new message arrives in the Planner group. Any help would be appreciated. I would like to use Planner to monitor the implementation of an IT team's production plan. Indeed, a production plan is a set of planned tasks - not necessarily assigned to someone but rather to a team. These tasks are often recurring: daily (for example, checking backups) or monthly (deploying security patches). I could not understand how I could introduce the notion of recurring task directly or indirectly into Planner. I eventually considered that the calendar of the team concerned could contain recurring events that could be transformed into tasks via FLOW. But I didn't manage to get to the end of that idea. Hi there, We have adopted Microsoft Teams & Planner over the last two years for project management of high volume residential construction projects. We have become very reliant on the "Board View" within Planner. Each user has historically been able within Teams to view all tasks assigned to them across all Teams in the My Tasks tab of the Planner app, and the tasks show up as "tiles". We have become heavy users of the "show on card" functionality to ensure that multiple assignees can keep track of tasks concurrently. We are concerned as several of our users appear to have had changes to their desktop apps in the last two days which has added the new "list" view associated with the amalgamation of To Do and Planner (ie. the new "Tasks" app). What is most concerning is that the Board view appears to be restricted to each individual Team now, and we cannot see how to replicate the former combined Board view (for all Teams together) that we have become so reliant on. We would appreciate prompt attention to this item - at this point if we cannot get this resolved, we may be forced to look into alternate task management platforms that provide more fluid access to tasks across multiple Teams concurrently. I have attached a photo of the "old view" which is preferred (Board view showing My Tasks across ALL teams concurrently) VS. the "new list view" which for us is problemmatic. Is there a way to see all project tasks assigned to a team member? Or is this functionality on the radar? I can see all my assigned tasks, and I can see tasks by person by project, but as a manager, I would like a way to see all tasks assigned to my team members across all of their projects/functional areas, so that we can quickly evaluate their current workload, reprioritize and assign new tasks accordingly. What I'm thinking is that there would be a filter option to see buckets by team member of their collective project tasks, like the view currently available right now by individual projects. I had an inquiry from a colleague asking if there is a way to restrict members of a plan to where they can't create buckets or move tasks around in different orders. I think there is an interest in having some members have read only access to look at the tasks in a plan and others who have access to create buckets and move tasks around. Just created what i believe is a highly effective method to ensure Planner Comment Notifications work seamlessly. We're all familiar with the challenge of comments getting overlooked, especially when staff members haven't previously engaged with a particular task. My new Power Automate solution addresses this issue by sending emails (or you can switch to Teams if preferred) to everyone assigned to a task whenever a comment is posted. The email includes the comment itself and a link to the corresponding task. To adhere to best practices, I created the automation in my user account but set it up to automatically send from an admin@ account. This step isn't mandatory but is recommended, especially if you anticipate commenting on numerous tasks yourself as the automation "owner". I've uploaded a brief 20-second video demonstrating the functionality. I'd appreciate likes and comments, and I'm more than willing to share the solution. This automation is part of a larger course/solution package I'm developing. Other upcoming features include automatic assignment of unique project codes (you can catch a glimpse of it in the video), auto-assignment of staff based on labels (for instance, if your yellow label is labeled Marketing, it automatically assigns everyone in marketing when used), and more. Is this on the roadmap? Our organization is starting to lose the battle of using Planner instead of Trello, pretty much because of the sole feature that Trello allows you to send an email to a specific email address and it will automatically create a Task. It is quite a simple model: Email Subject = Task Title Email Body = Task Description Email Attachments = Task Attachments This would be a massive win for adoption. I've read a lot about the notifications issues in Planner, which currently is the single obstacle preventing us to implement this tool in our organisation. But I'm not entirely sure I have the same issue as has been described in discussions here, and at the Uservoice Planner site. This is what I'm experiencing: The plan is created directly through the Planner web UI (as opposed to Teams/Android app) "Send notifications about task assignment and task completion to the Plan's conversation feed." is disabled (default setting). I am not subscribed to the resulting group that is created along with the plan (default setting). The group or I receive no email notifications at all when a task is created or assigned. When the first comment in a task is added, an email is sent from my address to the group. I see the email in my Sent items in Outlook. For every successive comment added to the task, an email is sent, from my address, to my address, and to the group address. The subject is the task name, and all the previous comments are present in the email. This completely absurd behaviour is what prevents us from using Planner. I don't mind the emails to the group address, but that every person who adds a comment receives the same comment as an email more or less defeats the purpose of Microsoft Planner since we might as well just use email to track our tasks in that case! Starting yesterday everyone on my team was clicking and holding a blank area on the board under a card to scroll left and right. When they did that the columns would start moving and then then move to the last column on the board automatically when they let go of the click Needless the say the columns are being rearranged every minute so we need help fast. I was very excited to see a "light" project management tool from Microsoft and I like that they are pushing out minimal products. I have to say that I was hoping for faster product evolution. I don't mind the card motif (a la Trello), but need to be able to work with a LIST of tasks. There are a lot of requested features out there that are not seeing the light of day. We are embracing Teams and the Planner is the integration we are looking for most. Does anyone have insight (or link to a post) as to what we can expect in the next 6-12 months from Planner?
